Health and Safety policy

Man and Van Kensington Health and Safety Policy

Man and Van Kensington is committed to providing safe, reliable and professional removal and delivery services. This Health and Safety Policy sets out our approach to protecting our customers, the public, our employees and any contractors involved in our activities. Safety is a core part of how we plan and carry out all moving and transport work.

Our Health and Safety Commitment

We aim to prevent accidents, injuries and damage to property by assessing risks in advance and by following safe working practices at all times. Management takes responsibility for ensuring effective health and safety arrangements are in place, and all workers are required to co operate in following this policy and reporting any concerns.

We regularly review this policy to keep it up to date with changes in our services, vehicles, equipment and relevant legislation affecting the removals and man and van sector.

Responsibilities and Duties

Overall responsibility for health and safety rests with company management, who ensure adequate resources are provided for training, equipment, vehicle maintenance and risk assessments. Supervisors and team leaders are responsible for implementing this policy on site, communicating safety procedures, and checking that agreed methods are followed.

Every worker has a duty to:

Work safely and follow all instructions and training provided.

Use equipment correctly and report any defects immediately.

Wear appropriate personal protective equipment where required.

Report hazards, near misses, incidents and injuries at the earliest opportunity.

Co operate with any investigation into accidents or unsafe practices.

Risk Assessment and Planning

Before starting any removal or delivery, Man and Van Kensington undertakes suitable and proportionate risk assessments. These consider factors such as property access, stairs, lifts, parking, traffic conditions, manual handling requirements, weather, and any special customer needs.

Where necessary, we carry out a site visit or obtain detailed information in advance from the customer. The outcome of risk assessments informs the number of staff needed, the size and type of vehicle, equipment requirements, and the safest sequence of work.

Manual Handling and Lifting Safety

Manual handling is a key element of our work. To prevent injury, our teams are trained in safe lifting and carrying techniques for furniture, boxes and appliances. Heavy or awkward items are assessed individually and, where required, moved using more than one person or with suitable handling equipment such as trolleys and lifting aids.

We avoid unnecessary carrying over long distances and plan loading and unloading to minimise strain. Items are broken down into smaller parts where safe and practical. Team members are instructed not to attempt lifts that exceed their capability and to stop work immediately if they consider an activity to be unsafe.

Vehicles, Driving and Road Safety

Our vehicles are maintained in a roadworthy condition and are regularly inspected and serviced in line with manufacturer guidance and legal requirements. Pre use checks are carried out by drivers before each journey, including tyres, lights, mirrors, load security equipment and any safety devices fitted.

Drivers hold appropriate licences and must follow all road traffic rules at all times. They are instructed to plan routes carefully, allow sufficient travel time, and drive with consideration for other road users. Mobile phones and devices must not be handled while driving. Loads are secured correctly to prevent shifting or falling during transit.

Safe Loading, Unloading and Property Protection

We take care to protect both the items being moved and the properties we work in. Floors, walls, bannisters and doorways are protected where appropriate using covers or padding. Items are loaded and stacked safely in vehicles to prevent collapse or damage.

Special care is taken with fragile, high value or bulky items. Where conditions make moving unsafe, such as extreme weather or structural hazards, the job is paused and reassessed. Customers are informed promptly if additional measures are needed to proceed safely.

Personal Protective Equipment

Personal protective equipment is provided where required to reduce the risk of injury. This may include safety footwear, gloves, high visibility clothing, or other protective items relevant to the task or location. All staff are expected to look after issued equipment, wear it correctly and report any damaged or missing items.

Work Environment and Public Safety

Our teams take reasonable steps to protect customers, visitors and members of the public in and around our working area. This includes careful positioning of vehicles, safe use of loading ramps, keeping walkways clear, and maintaining awareness of pedestrians, children and pets.

Where work takes place in shared spaces, such as communal entrances or busy streets, our staff will use clear communication, signage where appropriate and barrier methods where practical to reduce the risk of trips, falls or collisions.

Training, Information and Supervision

All staff receive appropriate induction and ongoing training in safe working methods, manual handling, use of equipment, and emergency procedures. Additional training is provided where tasks involve higher risk or specialised equipment.

Supervisors monitor performance on site to ensure that procedures are followed and to provide guidance to newer staff. Safety information is communicated clearly and reviewed when there are changes in our services or working methods.

Accident Reporting and Investigation

All accidents, injuries, near misses and incidents of damage must be reported to management as soon as reasonably possible. Records are kept and reviewed to identify trends, causes and opportunities for improvement.

Investigations focus on preventing recurrence by reviewing risk assessments, working practices, equipment suitability and training needs. Where lessons are identified, procedures are updated and communicated to all relevant staff.

Continuous Improvement and Policy Review

Man and Van Kensington is committed to continually improving its health and safety performance. We welcome feedback from customers, staff and contractors on any aspect of safety related to our removal and transport services.

This Health and Safety Policy is reviewed regularly and whenever there are significant changes to legislation, our operations, fleet or equipment. Updated versions are communicated to all staff so that safety standards remain consistent and effective.
